Accumulating emails in an archive folder provides quick access independent of the outlook user. Outlook archive feature is available in all versions like Outlook 2016, 2013, 2010, 2007 and earlier versions.

Why is the need to Archive Emails?

Various reasons are available behind archiving emails. One is to backup important emails. Another is if the Outlook mailbox has grown big in size then there is the need to archive old messages, tasks, notes and other items to keep mailbox fast and clean. In case, you need to locate a specific email, it takes long time to find but in archive folder, you can easily find it. Archiving email is also done to free up the space in mailbox and provide quick access to important messages. Archiving perfectly isolates emails with less importance and more importance.

Archiving emails in Outlook 2007

Archiving emails can be performed in two ways either automatically or manually.

Automatic method

An in-built feature called AutoArchive is provided within the Outlook which is by default turned on and automatically moves old items to archive folder at a fixed point of time.

Manual method

Now, you can also archive emails in Outlook 2007 by yourself. Just follow the steps given below – :

  • Click on File menu.
  • Click on Archive option.
  • Click on ‘Archive this folder and all subfolders’ option and tick the folders that you want to archive.
  • In the Archive items older than category, enter a date.
  • Click on Browser button to specify a location under Archive File option.
  • Click on Include items with “Do not AutoArchive” check box.
  • Click on Ok button.
